The operation, step by step

Where a small carrier's week actually goes

Every load moves through the same six steps. Today, each step lives in a different tool — or in nobody's tool at all. That's where the money leaks.

Find the load

Hours scrolling DAT, calling brokers, racing other trucks to the same posting.

The leak: no way to know if the rate beats your cost per mile — so losing loads get booked.

HaulDesk: every rate is checked against your real cost before you call.

Book & confirm

Rate confirmation lands by email, gets signed, then disappears into the inbox.

The leak: scattered paperwork and no record of which brokers burned you before.

HaulDesk: rate con filed to the load, broker history one tap away.

Haul & track

The customer calls "where's my load?" — you call the driver, mid-drive.

The leak: check calls interrupt driving and take up the dispatcher's day.

HaulDesk: live status board answers before anyone has to call.

Deliver & paperwork

BOL and POD photos live in the driver's phone gallery, next to family pictures.

The leak: one lost POD is an invoice that never gets paid.

HaulDesk: snap it once — it's filed to the load and the invoice forever.

Invoice & get paid

Invoice built in Word, emailed, then a 30–60 day wait — or factoring at 2–4%.

The leak: a 30–60 day gap between delivery and payment, and overdue invoices often go unchased.

HaulDesk: invoice in one tap from the load; aging board and reminders chase the money.

Know your numbers

IFTA panic every quarter; real profit unknown until tax season.

The leak: without cost per mile, every negotiation is a guess.

HaulDesk: cost per mile, IFTA-ready miles, and per-load profit — always current.

The gap

Three tools, three separate jobs

DAT finds loads. Motive tracks trucks. TruckLogics does billing. They are separate subscriptions and they don't share data. HaulDesk covers steps 2 through 6 in one app and works alongside whichever load board you already use.

What's different

What HaulDesk does that the current stack doesn't

Profit check before booking

HaulDesk keeps a cost-per-mile figure from your recorded expenses and compares every quoted rate against it. DAT shows the market rate; none of the three tools computes your own margin on a load.

Somali and Spanish, not just English

The interface ships in English, Somali, and Spanish. Many small-carrier owners speak one of these at home; DAT, Motive, and TruckLogics are English-only.

Flat price, no hardware, no contract

Motive requires a device per truck and a 1–3 year contract. HaulDesk is a monthly subscription at a flat price, cancelable anytime, and your data exports with you.

Built for the phone

Every screen works on a phone. The driver photographs the POD at the dock; it attaches to the load and the invoice. The owner sees the week's numbers without a laptop.

Ready to use, or tailored per client

Two delivery modes: sign up and start the same day, or a tailored build under the client's own brand and workflow.

Works alongside DAT

HaulDesk does not replace load searching. It handles everything after a load is found, so carriers keep their load board and drop the overlapping subscriptions.

Works with what's already in the truck

Integrations and savings

HaulDesk needs no device of its own — it runs on any phone. Where hardware or partners help, it connects to what the carrier already has or buys at group rates. Items marked "planned" are on the build roadmap below.

Your existing ELD — live map and automatic IFTA

Most trucks already carry an ELD by law (Motive, Samsara and others). HaulDesk connects to it through the vendors' APIs: live truck locations and IFTA miles by state, recorded automatically. No new device, no new contract. Planned.

Compliance calendar — included now

Form 2290, quarterly IFTA filings, IRP and UCR renewals, insurance and driver medical cards — every date in one list with due-soon and overdue status. Missed filings are real fines; this tab exists to make them impossible to forget.

Rate-con photo entry

Photograph the rate confirmation; the load is created from it — broker, lane, miles, rate — and profit-checked immediately. Removes the data entry that keeps owners on paper. Planned.

Group fuel card

A partner fuel card with truck-stop discounts negotiated for all HaulDesk carriers together. Card transactions also feed real fuel numbers into your cost per mile automatically. Planned.

Quick pay / factoring from the invoice

Submit an invoice for early payment from inside the app, at a group-negotiated rate, instead of waiting 30–60 days. Planned.

Broker pay data that compounds

Every HaulDesk carrier's payment history builds a shared record of how many days each broker actually takes to pay. The dataset grows with every customer and exists nowhere else for this segment.

What a 3-truck carrier pays today
DAT One Enhanced$119/mo + Motive · 3 trucks~$105/mo + TruckLogics~$80/mo = Today's stack~$304/mo vs HaulDesk Fleet$89/mo

Keeping DAT for load search and replacing the other two: $119 + $89 = $208/mo, about a third less than the current stack — before counting Motive's hardware and multi-year contract.
